1.1 Purpose
This System Resource Specification (SRS) describes the capabilities of the Good Eats Enterprise Resource Planning (ERP) system and serves as a communication tool between Die BlauenProgrammierer (DBP) and Good Eats Incorporated. This document serves both parties by describing what the system is supposed to do, in non-technical terms. This document can be used as a reference by employees in the technical area, but the intended audience is the Good Eats management and marketing staff. This document must be signed and approved by the management at Good Eats Incorporated before actual work can begin.
1.2 System Scope
The Good Eats Enterprise Resource Planning system, known as "GRS", addresses the needs put forth in the Good Eats Inc. needs analysis by offering a convenient, company-wide tracking and management tool. The Good Eats Incorporated ERP system will be able to keep track of real-time sales data and sales trends that can be accessed via a company intranet system and web application interface located at company headquarters. The sales tracking system will incorporate data from each store's cash register (point of sale transactions), online shopping and delivery services. Data will update in real-time and can be accessed via the inventory tracking and management software at each regional warehouse. In addition, the automated inventory system will automatically generate store orders (SO) and submit them to the appropriate regional warehouse, where resupply orders (RO) are automatically generated. Delivery Orders (DO) that enters the system from the company's web site will be automatically generated at the appropriate regional warehouse and inventory will be updated accordingly.
Point of Sale
Cash Registers upgraded with the DBP Point of Sale software application will continue to function with standard cash register operations, but will now have the capability to send sales information to the inventory tracking system via the existing company intranet system. A typical transaction would involve tracking the date of the transaction, items purchased/returned, method of payment, card member information and transaction type. This information, as well as online order information, is stored on a server at the local store and then sent to the store's regional warehouse automatically or manually by Good Eat's staff.
Inventory Management System
Workstations upgraded with the DBP Inventory Management software application and connected to the Good Eats Inc. intranet will have the capability to receive sales data from each store. This data will come in the form of a Supply Order (SO) or Delivery Order (DO) and put into a queue for warehouse employees to process. Items sent out from the warehouse for shipment or delivery will then be marked fulfilled by employees. A Resupply Order (RO) will be sent to the supplier If inventory on a particular item drops below the set minimum.
Sales Tracking and Trending
In addition to being sent to the regional warehouses, sales data from each store will be sent out to company headquarters for tracking and trending purposes. Data stored at company headquarters can then be analyzed via the DBP Sales Tracking Tool web application. This tool will automatically generate standard reports, such as:
POS sales by store
online sales by store
total sales by region
total sales of all regions
inventory by store
inventory by region
total inventory of all regions
This system will also provide administrators with the ability to create custom reports and filter data based upon a wide variety of information captured from each store.
