Introduction to Data Dictionary
Data dictionary is an essential and important tool in the software development. Process as its name indicates, it is a comprehensive definition of all the data (and control) items (elements) in given software. Or it can state as it is a structured central repository of data about data. In a data dictionary one should find a clear and complete definition of each data item and its synonyms. The data dictionary often becomes source document for specification and design of input processing files and data structures processing algorithms and design of output processing. Typically data dictionary development begins very early in the development process and expands as the software development process continues and more detail becomes available.
To describe the data dictionary sufficient information should be collected about data items. As such there are a number of methods to collect the information about data items. In some methods the data dictionary as a repository is not developed and the related information about the data items is collected in the requirements design and interface specification only. In the other development methods a separate document as a data dictionary is made to reside information.
Format of Data Dictionary
Although the format of data dictionaries varies from method to method, most use the followings table3.7, called as project
Data element sheet and information about the data item:
Name - a formal or primary name of the data or control item data storage or external entity.
Alias - other names or acronyms of data item.
Use - a listing of processes which use the data or control item. And how or when it is used.
Content description - standard format for representing the contents of data or control item.
Supplement / additional Information - other information such as limitations, restriction defaults or initial value etc.
The description format is frequently given a highly structured form but it is to be noted that consistency in naming must be followed. Except the content description all the information may be provided directly. To develop the content description of a data item some notations (symbols) as shown in table3.8.
As an example using the tables 3.7 and3.8, a telephone number might appear in data dictionary as shown in table3.9,
